Key responsibilities

What you will do

  • Timeliness and Accuracy of Stock Allocations: Prepare and execute store stock allocations as scheduled.
  • Verify the accuracy of data used for stock allocation to prevent under- or overstocking.
  • Coordinate with the Senior Supply Planning Lead to finalize allocation plans for all Modern Trade stores.
  • Monitor delivery, inventory, and sales data to ensure stores have sufficient stock levels.
  • Communicate regularly with the client's Merchandising Team and promodisers through the Area Manager and coordinators to align on inventory and sales priorities.
  • Store Replenishments: Ensure accurate and timely processing of purchase orders, returns to vendor, customer orders, and stock pull-outs.
  • Coordinate with logistics, merchandising, and warehouse teams for timely deliveries.
  • Track replenishment progress and resolve internal or external issues that cause delays, such as pending purchase orders or transport issues.
  • Anticipate store requirements based on sell-out data, seasonality, and promotional activities.
  • Ensure prompt reallocation or transfer of stocks when needed to balance inventory levels.
  • Spot-check inventory records submitted by the Merchandising Team or Omni Store Operations Team.
  • Client Satisfaction and Customer Service Support: Respond to day-to-day store and client inquiries on deliveries, price updates, and product availability.
  • Prepare new product sampling requirements and follow up on approval.
  • Maintain positive working relationships with client representatives, ensuring transparency and trust.
  • Provide clients with updates on deliveries, replenishments, and stock status as needed.
  • Support the Senior Supply Planning Lead in maintaining service standards and operational responsiveness, coordinating internally with the supervisor and Modern Trade Head to resolve customer concerns promptly.
  • Reporting and Documentation: Regularly collect and review store sales, inventory, and replenishment reports from coordinators and promodisers through the Area Manager.
  • Check for inconsistencies or discrepancies in submitted reports before endorsement for purchase order encoding or sales order processing.
  • Generate and analyze sales and inventory reports per store and account, maintaining up-to-date and accurate data across assigned accounts and stores.
  • Support the Senior Supply Planning Lead in preparing monthly and periodic summary reports and analysis for the Modern Trade Head.
  • Submit regular updates to the Senior Supply Planning Lead.
  • Recommend actions to improve forecasting, allocation accuracy, and report formats.
  • Business Process: Oversee routine Sales Admin Staff tasks for stock fill-ups, outright purchase orders, returns, consignment sales, and related SAP documentation.
  • Review and serve undelivered orders through proper monitoring of incoming shipments.
  • Ensure timely processing of orders and fill-ups to maximize delivery routes.
  • Maintain and supervise Sales Admin Staff for accuracy and productivity.

Qualifications

What we are looking for

  • Bachelor's degree in Business Administration or a related field.
  • At least 2 years of supervisory or planning experience in retail or FMCG.
  • Strong attention to detail, analytical mindset, and organizational skills.
  • Proficient in Microsoft Office applications.
  • Excellent coordination and communication abilities.
